You may have noticed that our monthly newsletters have been on hold and there’s an important reason why:

Aretas Physical Therapy is switching our record and billing system!

Since opening a little over two years ago, we have fielded many questions (and some complaints) about your experience with your billing. We do not take the decision to switch systems lightly, and after thoughtful consideration of what this change could imply, we decided it was important that we utilize our system to take better care of you, including on the financial side.

We will be live with our new system on November 3.

We recognize that change can be frustrating or confusing. We’ve compiled a list of questions we anticipate you may have – and we are here for any that are not on this list! Our staff is actively going through training on our new system and how to help you navigate this transition. Please feel free to call the clinic (Hales Corners: 414-400-7110, Wauwatosa: 414-400-6556) at any time or stop by the front desk.

How will my treatment change with the new system?

Not at all! Your PT session will feel the same on November 3 that it did in October. The only thing you might notice is things feeling more efficient in the clinic!

How will my billing change with the new system?

A little! Here are some tips to help:

• Make sure you’re up to date on your current balance. You can do this in a few ways:
  • Pay in the clinic at the front desk
  • Pay online using the online payment link (you will need your account number, which can be found on your statement. The number starts with the letters “AT”)
    • Hales Corners: https://payments.webpt.com/qxhkvh
    • Wauwatosa: https://payments.webpt.com/qvd00r
  • Pay via check or cash and mail it into the clinic
• Make sure you’re paying in the correct system. There are a few protections in place to make sure you’re in the right spot:
  • You will receive a paper statement from our current system
  • You will receive an electronic statement from our new system (text or email)
  • If you choose to pay online, you will be prompted to enter your information (account number, DOB, last name, etc.) and directed to the proper account and balance
  • Your balance will never overlap, so if you have a balance in both systems, it is actually due – of course, if you have questions on any balance you have, please call the clinic or stop by the front office!
• Don’t worry! We are here for you every step of the way. You may receive a call from an admin team member who can assist you in making a payment.
